Before You Resign: 10 Important Documents You Must Collect Before Leaving Your Job

A resignation from a job is a big career choice but many employees go through the notice period only, and forget that they should have those documents in hand before they see the last day of work. These records will be the basis of future employment, income tax filing, PF transfers, background verification, and financial planning. 1.Relieving Letter.

A relieving letter is formally signed that you have completed your notice period and have been formally relieved of your responsibilities. Most employers need this document during the onboarding process.

2.Experience Certificate.

An experience certificate confirms your name, employment status, and work history with the company. It serves as proof of your professional experience and is usually requested by future employers.

3.Full and Final Settlement (F&F) Statement.

The F&F statement describes your final salary payment, pending dues, leave encashment, bonuses, gratuity (if applicable), deductions, and other settlements. Read this document to make sure all payments have been made correctly.

4.Form 16.

Form 16 is a vital income tax document your employer must provide you with to file your income tax return. It contains your salary, tax deducted at source (TDS) information, and other tax-related information required while filing your Income Tax Return (ITR).

5.Salary Slips (Last 3-6 Months).

Keep copies of your recent salary slips. These are often required when applying for loans, visas, rental agreements, or negotiating salary with a new employer.

6.Provident Fund (PF) Details.

Have your PF account information, UAN, and contribution details. Verify your employer has deposited all PF contributions properly before you make a transfer or withdrawal.

7.No Objection Certificate (NOC) (If Applicable).

There are some organizations that send an NOC confirming that you have no pending obligations, financial debts, and have no company assets to return. In regulated industries or government-related fields, this document can be quite important.

8.Non-Disclosure Agreement (NDA) or Exit Agreement.

Keep a copy of any NDA, confidentiality agreement, or exit agreement you signed. Understanding your post-employment commitments can help you avoid legal issues in your future career.

9.Medical or Insurance Records.

If your employer offered health insurance or medical benefits, have policies, claim history, health records, and information about coverage termination or portability.

10.Professional References.

Before leaving, ask your manager, team leader, or colleagues to use them as professional references. Having trusted references can strengthen future job applications and help with background verification.

Leaving a company isn’t only about sending your resignation letter; it’s also about ensuring a smooth transition to your next job.
